Privacy Policy

DriverSeal (“we,” “us,” or “our”) operates the DriverSeal driver intake service at driverseal.com (the “Service”). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you.
Who this applies to
- Brokerage users — employees and administrators who sign in to create intake requests and review driver submissions.
- Drivers — individuals who open a secure one-time link and submit information for a specific load. Drivers do not create accounts.
- Platform administrators — operators who manage brokerages on the Service.
Information we collect
From drivers (via intake links)
- Full legal name and mobile phone number
- Photographs you capture in the flow, which may include a driver's license, VIN tag, truck door markings (MC/DOT), and optional full-truck or trailer images
- Capture metadata associated with accepted photos, such as timestamp and GPS location, when your device and browser permissions allow it
- Operational data such as confirmation numbers, submission time, and link usage status
Do not submit Social Security numbers, payment card numbers, or other financial account information through the Service.
From brokerage users
- Account and authentication information managed through our identity provider (currently Clerk), such as phone number, sign-in activity, and organization membership
- Brokerage profile data, team membership, load numbers, carrier names, notes, and review actions within the dashboard
Automatically collected
- Security and audit logs (for example, failed access attempts, request lifecycle events) designed to avoid storing raw intake tokens or unnecessary personal details in logs
- Standard web server and hosting metadata (IP address, user agent, request timing) maintained by our infrastructure providers
How we use information
We use collected information to:
- Provide the intake workflow — create links, accept submissions, and display them for manual broker review
- Authenticate brokerage users and enforce organization access controls
- Operate, secure, troubleshoot, and improve the Service
- Comply with law and respond to lawful requests
DriverSeal does not independently verify, approve, or certify driver eligibility, insurance, FMCSA authority, or document authenticity. Brokerages are responsible for their own review and compliance decisions.
How we share information
- With the requesting brokerage — driver submissions and related request data are visible to authorized members of the brokerage that created the intake request.
- With service providers — we use vendors for hosting, authentication, and (when configured) database and file storage. They process data on our instructions and under contractual safeguards.
- For legal reasons — when required by law, regulation, legal process, or to protect rights, safety, and security.
We do not sell driver personal information.
Retention
Intake records (including driver submissions and uploaded photographs) are retained for a limited period after a request reaches a final status (for example, reviewed, closed, or expired). Our default retention period is 30 days after that final status, after which eligible records and associated files are automatically deleted from the Service.
Submissions that remain unreviewed for 30 days may be closed and then deleted under the same schedule. Records subject to a legal hold or active dispute may be retained longer. Security audit events may be kept for operational and security purposes even after intake records are deleted. Encrypted backups may retain residual copies until those backups expire under our hosting provider's backup schedule.
Security
We use administrative, technical, and organizational measures appropriate to the sensitivity of the data, including encrypted transport (HTTPS), access controls, tenant isolation between brokerages, and capability-based driver links. No method of transmission or storage is completely secure.
Your choices
- Drivers — participation is voluntary. If you do not agree to this policy, do not submit through the intake link. Contact the brokerage that sent you the link with questions about their use of your information.
- Brokerage users — manage your account through the sign-in provider. Organization administrators control team access.
Children
The Service is intended for commercial freight operations and is not directed to children under 13. We do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may be communicated through the Service or to registered brokerage users.
